Academic Program Assistant (Full-Time)

Organization: Roanoke Higher Education Authority

Description: Roanoke Higher Education Center (RHEC) has a full time position available for an enthusiastic, customer service oriented individual interested in working with prospective students and clients interested in utilizing the Center’s facilities for conferences, meetings and special events. The position also serves as administrative assistant to the Senior Director of Academic & Student Services.

Duties include:

  • managing all day rental activities including tours, scheduling, contracting, A/V needs, event set-up, tear down and follow-up processes
  • referring students to member institutions based on individual needs and interests
  • assisting with open house, job fairs, onsite interviewing and other related student events
  • coordinating and supporting workshops, classes and training events
  • providing professional input to the Director regarding special needs, trends, program requests and/or enhancements based on student interactions
  • preparation of marketing correspondence and promotion of the RHEC at special events
  • maintenance of the contact management system.

Required Qualifications:

  • Bachelor’s degree
  • At least one year of experience working in an educational setting
  • Strong professional writing skills
  • Proficiency with Microsoft Office Suite and Internet research.

Preferred Qualifications:

  • Event planning experience
  • Experience working in higher education

The successful candidate should have excellent interpersonal, customer service, organization, and planning skills; the ability to communicate with diverse populations; and the ability to work independently.

The selected individual will generally work Monday through Friday. Some early, weekend and evening hours will be required.

Hiring range: $32,000 to $40,000/year based on experience

Senior Accountant / Reporting Analyst (Full-Time)

Organization: Roanoke Higher Education Authority

Description: The Roanoke Higher Education Authority has a full-time salaried position available that performs maintenance and analysis of complex financial records for the Authority and the Roanoke Higher Education Center Foundation.

Essential Duties and Responsibilities:

  • Perform complex financial analysis, reconciliations, and financial reporting for the Authority (a governmental entity) and the Foundation (a non-profit entity).
  • Assist the Director of Finance and Administration in the areas of accounting, finance, budgeting, financial forecasting, reporting, and auditing.
  • Coordinate and oversee the annual external audit.
  • Research and implement new applicable regulatory and professional standards for governmental (Authority) and non-profit (Foundation) reporting to ensure conformance with GAAP, GASB, FASB, IRS, and the Commonwealth of Virginia.
  • Maintain all aspects of the fixed asset accounting system.
  • Perform revenue and expense forecasting and variance analysis.
  • Responsible for maintaining internal controls, policy and procedure manuals.
  • Responsible for payroll and benefit oversight, review, and related filings.

The successful candidate should be a self-starter with demonstrated capability in finance, accounting, and teamwork. The ability to handle multiple tasks simultaneously is essential.

Requirements:

  • Bachelor’s degree in accounting, finance, or a related field.
  • Five years of experience in financial accounting, auditing, or a related field.
  • Advanced Microsoft Office skills with a strong emphasis in Excel.
  • Thorough knowledge of Generally Accepted Accounting Principles (GAAP).
  • Strong analytical and strategic thinking abilities.

Preferred Requirements:

  • CPA or Certified Public Finance Officer (CPFO).
  • Master’s Degree in a related field.
  • Related work in the public sector, particularly with a state agency.
  • Related work in non-profit accounting and reporting.
  • Knowledge of Generally Accepted Governmental Auditing Standards (GAGAS).

Administrative Assistant (Part-Time)

Organization: Roanoke Higher Education Authority

Description: The Roanoke Higher Education Center (RHEC) is seeking a part-time administrative assistant to coordinate the efforts of the RHEC Foundation. This individual will report to the Executive Director (ED) and provide support to the Executive Director (Foundation President), Director of Finance and Administration (Foundation Treasurer), and to members of the Foundation Board with regard to maintaining activities and contributions. The successful candidate should be a self-starter with excellent organizational and time management skills. The candidate should possess good oral and writing skills combined with a professional appearance and excellent interpersonal skills. The successful candidate can expect to work a flexible schedule of approximately ten (10) hours per week.

Essential Duties and Responsibilities:

  • Monitor progress of fundraising priorities and financial goals
  • Assist the ED in developing criterion for applying for scholarships
  • Develop marketing materials, prepare reports, schedule and attend Foundation Board meetings
  • Match Board members to potential donors
  • Send reminders to Board members for annual giving
  • Follow up with assignments between the Board and donor
  • Assist ED in making appointments with donors
  • Develop and maintain donor profiles and outreach efforts
  • Maintain Donor Management System
    • Maintain a current and accurate list of donors
    • Upload credit card receipts for donations in Donor Management System
    • Create thank you letters
    • Generate tax reports
    • Generate monthly reports from Donor Management System to assist with reconciliation
    • Assist in resolving variances between the Sage Accounting and the Donor Management System
    • Generate ad hoc reports from Donor Perfect as needed
  • Receive and process donation checks

Requirements:

  • Bachelor’s degree from an accredited college or university
  • At least five (5) years of experience as an administrative assistant
  • Experience in marketing, advertising, public relations, or a related communications field
  • Proficiency with Microsoft Office, internet, social media, and donor management software

Preferred Requirements:

  • Experience in higher education fundraising
  • Proven success in building productive relationships with management, business leaders, staff, boards, and donors
  • Previous experience in monitoring contributions and donations
  • Experience with Donor Perfect software system
